Steps for Offboarding a user account

When HR submits the offboard request for an employee, these are the steps we take.

 

1.     Pull up user account in Active Directory

a.      Disable account

b.     Export AD record

     i.     Open command prompt

1.     net user first.last /domain > C:\Users\user.name\Desktop\first-last.txt

c.      Remove all manually assigned permissions and groups from user

2.     Pull up user in Microsoft Entra ID Center

a.      Revoke MFA and active sessions

b.     Require MFA re-registration

3.     Pull up user in Exchange Admin Center

a.      Convert mailbox to a shared mailbox

b.     Grant supervisor delegate access

4.     File Migration

a.      Pull up user in Microsoft 365 admin center

     i.     Generate a link to their OneDrive files

    ii.     Copy files to the FormerEmployees SharePoint site

b.     Create a task on the SharePoint admin center to migrate users H: drive data (if applicable) to the FormerEmployees SharePoint site

c.      Migrate locally stored data from PTS-issued computer to the SharePoint site

d.     Share folder with supervisor
